The new GDPR (General Data Protection Regulation) which came into force on May 25th 2018 is designed to protect your personal data by restricting how your data can be used. All organisations must meet the GDPR requirements and this document is our commitment to this legislation.
What Information Do We Collect?
We collect the following information when you book on an event at The Green Place
- Email Address
- Phone Number (required for track and trace)
How Do We Use This Information?
We use this information to identify you as the person who booked onto the event. This falls under the Lawful Basis of Contractual Necessity - i.e. we need your name and email address in order to process your booking and to send out confirmation of your booking. We will only use your phone number to contact you if there is a change to the event you have booked on, or if it is cancelled, and we will use it to contact you as required by the NHS Track and Trace program. We will not use your phone number for any other purpose.
We may also use this information to send occasional emails detailing our latest news and upcoming events. This falls under the Lawful Basis of Consent - i.e. we ask for your consent before adding your name and email address to our mailing database.
We retain this information to allow you to log in to the booking website and quickly and easily book for future events. We will periodically delete accounts that have not been used for 12 months.
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place electronic and managerial procedures to safeguard and secure the information we collect.
Will My Information Be Shared With Anyone Else?
We will not sell, distribute or lease your personal information to any third parties for marketing purposes.
Can I See What Information Is Held About Me?
We can supply a copy of the information we hold on you if requested, however this information is only your name and email address. We are obliged to provide this information to you within one month of your application. We will require proof of identity before releasing this information.
You have the right to have your data deleted from our system, although you should be aware that you will then have to re-register each time you want to book on an event. If you require us to do this, you will need to provide proof of identity.
